This page explains, in plain words, what we collect when you use our website and our forms, or when we get in touch with you first, why we collect it, who helps us look after it and what you can ask us to do with it. If anything here isn't clear, have a chat with us. We're happy to explain.
Who we are
We're Business Factory. We build ready-to-run small businesses with you: the plan, the brand, the website and the systems, so you start with a leg up instead of a blank page.
- Legal name: Business Factory is a trading name of KPW Ventures Ltd, a company registered in England and Wales (company number 17423647). Business Factory is not a separate company.
- Registered address: Lytchett House, 13 Freeland Park, Wareham Road, Poole, England, BH16 6FA
- ICO registration: ZC277004 (KPW Ventures Ltd, registered with the Information Commissioner's Office)
- Email: info@businessfactory.uk
We decide how your information is used, which makes us the "controller" of it under UK data protection law. Any privacy question, request or worry comes to the same place: info@businessfactory.uk.
The short version
- We only ask for what we need to reply to you and to talk through the business you'd like to start.
- A real person reads every enquiry and replies to you. Nothing you send us is used to make automated decisions about you.
- We never sell your information, and we don't use it for advertising.
- Sometimes we email people who appear to be starting a new business, at their work address. Every email says where we found your details, and you can opt out at any time.
- We don't use analytics or advertising cookies.
- You can see, correct or delete your information. Just ask.
When you get in touch through our forms
When you send a form, your answers are saved so we can reply. "Have a chat" messages go into our customer system (BF CRM), and our other forms save to our website's own database. We also get an email letting us know a new message has arrived, so we see it quickly.
"Have a chat" (our contact form)
- Your name
- Your email address
- What it's about (for example a general question or your own idea)
- Your message
Your "Have a chat" message also goes into our customer system (BF CRM), which is where we keep track of conversations and follow-ups. The customer system sends you a short email to say we've got your message.
Build request (on a business page)
- Your name
- Your email address
- Where you'd like to trade
- How your business is set up so far (for example not yet formed, sole trader or limited company)
- Your target launch date
- Your funding position
- Any extras you've ticked and the estimated price shown
- Any comments you add
- Which business you're asking about
We send you an email with a copy of what you sent us, so you have it to hand.
Other forms
Our app enquiry form and "suggest a business" form ask for your name, your email address and your message (plus the business you're suggesting, if you use that form). You get the same copy-of-what-you-sent email.
Website onboarding form
If you're building a website with us, we may send you a link to our onboarding form. It asks for:
- Your name and email address
- About your business: its name (or whether you'd like us to create one), what it does, where you work, what sets you apart, your story and what you sell
- Brand and feel: your logo, colours, fonts, style, personality, tone of voice and any slogan
- Customers and message: who your ideal customer is, words to use and avoid, and websites you like or dislike
- Content: the pages you need, your wording, testimonials, photos and social media links
- Technical: your domain, any existing website, hosting and email, things the site needs to connect to, your target launch date and who makes decisions
- Anything else you'd like to tell us
- Any logo, brand or photo files you choose to upload
Your answers are saved in your browser as you go, so you can come back to the form later on the same device. When you send it, your answers go into our client records and any files you upload are stored with them. We email you a copy of your answers, and we get a copy too.
"Is it right for me?" checklist
The checklist doesn't save your answers. If you download your checklist as a PDF, it's made for you there and then, and we don't keep a copy. If you tap "Have a chat" at the end, we copy your answers into the contact form message so you can check them, and nothing is sent until you press send.
What we use form details for
To read your message, reply, have a chat with you about the business you have in mind, prepare a written order if you decide to go ahead and keep a sensible record of what we've talked about. We won't add you to a mailing list unless you ask us to.
Sending a form doesn't commit you to anything. It just asks us to get back to you.
Why we're allowed to use your information
UK data protection law asks us to have a clear reason, called a "lawful basis", for using your information. Ours are:
- Replying and preparing an order: you've asked us to get back to you, and we need your details to talk through a possible build with you. These are steps you've asked for before a contract.
- Contacting people who are starting a new business: it's in our legitimate interests to let people who appear to be starting a business know how we could help. We've checked that this is fair and doesn't override your rights. You can object at any time, and we'll always stop.
- Keeping a record of the conversation: it's in our legitimate interests (and usually yours) to keep an accurate record of what was asked and what we said. You can object to this at any time.
- Records we must keep: if you go ahead with a build, we keep the paperwork to meet UK tax and accounting rules. This is a legal obligation.
Who helps us look after your information
We use a small number of trusted companies to run the site. They only use your information to do the job we ask of them.
- Vercel hosts our website and the behind-the-scenes code that handles forms. Like most web hosts, it keeps short technical logs (such as IP addresses and browser details) to keep the site running and secure.
- Our website database provider stores build requests and messages from our other forms.
- BF CRM is our own customer system. It holds "Have a chat" enquiries, our follow-up notes and tasks, and the details of anyone we've contacted first. It runs on Vercel and keeps its data with Supabase in Ireland, in the EU.
- Airtable holds our client records, including your website onboarding answers.
- Vercel also stores any files you upload with the onboarding form.
- Resend sends the emails: your copy of what you sent, the customer system's "we've got your message" email and our own new-enquiry notification.
Some of these companies, including Vercel, Resend, Supabase and Airtable, are based in the US or may process data outside the UK. Where that happens, we rely on UK adequacy regulations or the ICO's International Data Transfer Agreement or Addendum to standard contractual clauses to keep your information protected.
Cookies
We don't set any cookies when you browse the site or send a form, and we don't use analytics or advertising tracking. The only thing we save in your browser is your progress on the website onboarding form, so you can pick up where you left off. It stays on your device. Our fonts are part of our own website, so your browser doesn't contact Google Fonts.
If we contact you first
Sometimes we get in touch with people who appear to be starting a new business, to tell them how we could help. We only contact people who are starting a new business, and organisations that support them (see below). If you've heard from us this way, this section is for you.
What we hold: your name, your work email address, your business name and, where it's published, your role. We also note where we found your details and when we contacted you.
Where we got it: from publicly available sources, such as company websites, Companies House and business directories. Even a work email address can be personal data, so we treat it with the same care as everything else on this page.
Why, and our lawful basis: it's in our legitimate interests to let people starting a business know how we could help, and we've checked that it's fair to you. We follow the rules on business emails (the Privacy and Electronic Communications Regulations, or PECR). We only email work addresses at limited companies and LLPs. We don't send emails out of the blue to sole traders, partnerships or personal addresses.
Every email tells you: who we are, where we found your details and how to opt out. Opting out is easy: reply "no thanks", or email info@businessfactory.uk.
Saying no: you can object at any time, and we'll always stop. When you opt out, we add your email address to a do-not-contact list, so we never contact you again. We keep only what we need to honour that, for as long as we need to.
How long we keep it: if we don't hear back, we delete your details 6 months after our last email.
If you're a referral partner
Sometimes we get in touch with organisations that help people start a business, such as accountants, bookkeepers and local business support teams, to ask whether we could point people to each other. We'd only ever refer people who are starting a new business.
What we hold: your organisation's name, the work email address it publishes and, where it's published, your name and role. We also note where we found your details and when we contacted you.
Where we got it: from your organisation's own website, or the public page where it lists its details, or from you directly, for example at an event.
Why, and our lawful basis: it's in our legitimate interests to build referral relationships that help people starting out, and we've checked that it's fair to you. We only email published work addresses at limited companies, LLPs and public bodies. We don't email sole traders or partnerships out of the blue.
How often: no more than three short emails, and we stop as soon as you reply or ask us to.
Saying no: you can object at any time, and we'll always stop. Reply "no thanks" to any of our emails, or email info@businessfactory.uk. We'll add you to our do-not-contact list so we never contact you again.
How long we keep it: if we don't hear back, we delete your details 6 months after our last email. If we agree to refer people to each other, we keep your details while we work together and for 12 months after it ends.
How long we keep things
We keep information only for as long as we need it.
- Enquiries and build requests: 2 years from your last contact with us, then deleted. This includes the email copies in our inbox and the record in our customer system.
- If you go ahead with a build: your order and payment records are kept for 6 years, because UK tax rules ask us to keep them.
- Website onboarding answers and files: kept while we build your site, then for 2 years after we hand it over, then deleted.
- If we contacted you first: 6 months after our last email if you don't reply. If you opt out, we keep your email address on our do-not-contact list so we never contact you again.
- Referral partners: 6 months after our last email if you don't reply. If we work together, while we do and for 12 months after it ends.
Your rights
You're in charge of your information. Under UK data protection law (the UK GDPR) you have the right to:
- See it. Ask for a copy of the information we hold about you.
- Correct it. Ask us to fix anything that's wrong or out of date.
- Delete it. Ask us to erase your information.
- Pause it. Ask us to limit how we use your information, for example while we check something.
- Object. Tell us you don't want us using your information in a certain way, for example where we rely on legitimate interests.
- Take it with you. Ask for your information in a format you can easily move elsewhere.
Email info@businessfactory.uk. We'll reply within one month, and there's no charge. We may need to check it's really you before we share or delete anything.
Children
Our website isn't aimed at anyone under 18, and we don't knowingly collect information from children. If you think a child has sent us their details, please let us know and we'll delete them.
Keeping your information safe
We take care to keep your information secure. Only the people who need to see your enquiry to help you can see it, and our website and customer systems need a sign-in.
If you're not happy
We'd always like the chance to put things right, so please talk to us first at info@businessfactory.uk.
You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk.
Changes to this page
If we change how we use your information, we'll update this page and the date at the top. If it's a big change, we'll let you know.
